What to expect with TELEHEALTH PSYCHOLOGY?

Telehealth psychology services feature registered psychologists, the same type of practitioner you would meet with in person therapy. The way you receive therapy online is however different from the way you would receive it if you met with the therapist face-to-face. In-person therapy requires you to attend a psychology clinic and meet with your psychologist in their own practice room. Telehealth psychology is the delivery of therapy virtually to you in the comfort and privacy of your own space. It allows you to communicate with your psychologist virtually using a mobile device and a secure internet connection. Booking an appointment, receiving and replying to appointment confirmations, accessing your appointment and meeting with your psychologist is all done through technology-based types of communication.

Available telehealth psychology appointments are viewable when you go to book an appointment. Days and times to select from will depend on the psychologist’s schedule which is included in their online bio here.

There are three ways you can book an appointment with one of our practitioners:

  • Click on the Online Appointment button on the MindCare Psychology Services website, and login to the Client Portal. 
  • In session with your psychologist. 
  • By contacting the MindCare Psychology Services administration team directly. 

MindCare Psychology Services provides clients with their own unique telehealth room, secured by a ‘key’.


24 hours before your scheduled appointment, you will be sent a special link via SMS which contains your ‘key’ to access the room. When you click on the link, you will be connected to your telehealth room. When you and your practitioner both go to the online room at the time of your appointment, the telehealth videocall will begin.



Your link is unique for you, and the same link is used for all your telehealth appointments. You can save your link for easy access to future appointments.

MindCare Psychology Services uses a web-based system called Zanda. Zanda is a complete practice management system, designed specifically for health practitioners and their clients. Zanda does not require you to download any software.

To get the most out of your online psychology appointment, it is recommended you find a quiet and comfortable space that is free from distractions and that you set yourself up with the right equipment prior to your appointment commencing.     If an issue arises whilst trying to connect to your appointment, first check to insure you have a secure internet connection.

All new clients will be provided with a New Client Information Pack, which includes information on how to set up for your telehealth appointment and other important details you may need during your involvement with MindCare Psychology Services.

About my telehealth appointment

 

When you and your practitioner have connected to your telehealth room, you will both be able to see and verbally communicate with each other live. It can be quite confronting seeing a psychologist for the first time. You may feel a little awkward or unsure at first, however it is our number one priority to make you feel as comfortable and safe as possible.


At first, your practitioner might ask you questions about your life. This may include questions about your childhood, work and career, family, relationships, interests and hobbies. This is to gain an understanding of how you came to be the person you are. You can always choose how much or how little information you wish to share throughout your sessions. The aim is to go at your pace. The practitioner will also ask you about your goals for therapy and discuss ways in which they can help you work towards achieving those goals. Often the first session will give you a real sense of your psychologist, their style and therapeutic approach. You might want to prepare a list of questions before your session to assist in understanding the therapeutic treatment process.

Research has shown that children are able to benefit from receiving therapy online. Furthermore, over the last few years children have shown increased resilience and ability to connect with others online.


It is important for the psychologist to initially have a parent session independent of the child to assess the current concerns of the child from the parent’s perspective, gather background information and to determine goals and treatment options for the child.


Depending on the child’s age, development and abilities, sometimes it is encouraged for parents to attend their child’s telehealth psychology appointment. This is to assist the child to engage with the psychologist and support their engagement with the therapeutic activities. It is also a great opportunity for parents to be involved in the therapeutic process.

    We believe a psychologist is best for you if they make you feel understood and cared for. You also might like to ask about the experience of the psychologist and whether they have worked with your particular difficulties in the past.

Referrals, fees, Medicare and private insurance

No, you do not need a referral if you are not wanting to claim a Medicare rebate. If you wish to claim the Medicare rebate you will need a referral letter from a General Practitioner, Psychiatrist or Paediatrician and what is known as a Mental Health Care Plan (MHCP).

To claim a Medicare rebate, you will need to have a valid Medicare card, a referral from your General Practitioner, Paediatrician or Psychiatrist (dated within the last 12 months), with an accompanying Mental Health Care Plan (MHCP). The referral will state the number of sessions you can claim through Medicare.


To receive a MHCP you will need to visit your doctor who will complete a detailed mental health assessment and assess your eligibility. They will then provide you with a referral to one of our psychologists and the MHCP. Medicare rebates cannot be backdated for sessions that have been completed prior to the date of the referral and MHCP.

A maximum of 10 sessions in a calendar year can be claimed. Generally your referring doctor will assess your progress after the first six sessions, before approving an additional four sessions. Your psychologist will send a therapeutic progress review to your doctor after you 6th and 10th session. 


Clients will need to make a claim to Medicare to receive the rebate for each of their psychology sessions. This can be done via:

  • Medicare online account (via your MyGov account)
  • Medicare Express app (mobile or desktop)
  • At a Medicare Service Centre
  • Telephone claiming for rural and remote residents – call 1300 360 460 24 hours, 7 days per week.
    Some private health funds do cover telehealth psychology sessions, however, you need to find this information out directly from your private health fund/policy. If your telehealth psychology session is covered by private health, your invoice will still need to be paid in full prior to your appointment commencing and claimed back through your insurer.

    You cannot claim both the Medicare rebate and private health insurance.

Invoices and payments are processed via the PowerDiary automated online payment system, using the payment method used to pay the initial deposit when you booked your first appointment.


*Payment for your session will be automatically processed prior to your session commencing.


You can also pay for your appointment in advance by logging in to your Client Portal, clicking on the My Invoices button on the home page, hovering over an invoice and clicking Pay Now.

No, MindCare Psychology Services is not a bulk billing practice. Your session fees need to be paid in full prior to your online appointment commencing.
